The classification is based on the applicable requirements for notary offices. The guidelines of the German Federal Chamber of Notaries on IT security as well as legal and professional requirements are decisive in this regard. We examine roles, responsibilities, and key security procedures: What is regulated? What works in everyday life? Where are there gray areas – for example, in terms of representation, authorizations, or data exchange? 

3. Technical inventory
We get a picture of the IT security measures within the agreed scope – in a practical and comprehensible way. In doing so, we check whether protective measures fit together or whether gaps arise at critical points. 

4. Risk assessment and
classification We compare the results with the requirements, highlight any deviations, and classify risks in a way that enables decisions to be made: What is critical? What is important but can be planned for? What can remain as it is in its current form? 

5. Results report and prioritized recommendations We
then prepare the results in a structured manner. You receive a clear report with an assessment of identified vulnerabilities, a comprehensible risk classification, and a prioritized action plan – including a pragmatic sequence: what to do first and why.

Is Notary+ suitable for every notary office?

Yes. Notary+ is designed to be suitable for notary offices of different sizes and with different starting points. It is based on our experience from working with various notary offices.

At the same time, it is important to us that no two notary offices are alike. That is why we do not work with rigid concepts or ready-made solutions. We analyze existing processes, structures, and framework conditions and develop tailor-made measures based on this analysis. This results in solutions that can be integrated into the respective everyday work routine—regardless of whether it is a matter of individual issues or more comprehensive further development and support. 

Can the modules also be booked individually, or is Notary+ only intended as a complete package?

The individual modules can be booked independently of each other. Each module is self-contained. This allows you to focus on the areas where action is most urgently needed.

At the same time, ISMO Notary+ is designed so that the modules interlock in a meaningful way. When processes, IT, and security are considered together, the greatest impact is usually achieved. Whether a single module is sufficient or a more comprehensive approach makes sense depends on your initial situation, your goals, and the existing structures of your notary office. What is a sovereign cloud and why does it make sense to switch to one? 

With a secure cloud, data is processed exclusively in European data centers, ensuring that the highest standards of data protection, IT security, and compliance are met. Control over data, access rights, and operations remains with the notary office at all times.

For many notary offices, the switch makes sense because established in-house IT structures are costly to operate. Is it necessary to change your existing IT service provider when working with ISMO?

No. The aim of working with ISMO is not to replace existing IT service providers, but to create a better structure and clear responsibilities. Existing service providers can remain involved and will be managed and coordinated in a targeted manner in the future.

We only recommend adjustments to the collaboration if it makes sense from a technical perspective or at the express request of the notary's office. The decision always lies with the notary's office.
